A fast paced New York Contemporary Art Gallery seeks a candidate who must be efficient with Microsoft Excel, Word, and QuickBooks programs. A financial background and a strong attention to detail is required and previous art gallery and Artbase / FileMaker Pro experience is ideal.





This position is full-time and consists of the following responsibilities:





Manage all Accounts Receivable and Accounts Payable.


Prepare and review Invoice.


Assist the Director of Finance in preparing financial statements for directors and artists.


Communicate with artists regarding financial matters.


Assist Director of Finance in preparing annual budget and preparing and reviewing monthly budget vs. actual reports.


Identify areas to reduce production costs and increase profit margin on sales.


Create forecasts for upcoming art fairs and exhibitions and compare to actual results.


Provide analysis of results to assist in future planning.


Accurately project and monitor production costs to accurately price work and assist artist with better record keeping.


Analyze budget-to-actual report after every exhibition and every art fair.


De-brief after each exhibition/art fair to identify successes, failures, and improvements for the future.


Manage expenses aggressively.


Track artist income and report on an as needed basis.


Regulate artist travel expenditures.


Hold meetings to discuss status of expenses.


Make deposits, manage wire transfers.


Report weekly financial status (AR/AP and “due to consigners” list, bank balances) to principals.


Submit payroll report to payroll service provider.


Maintain employee files.


Manage bookkeeper and ensure proper recording of all financial transactions.






Compensation commensurate with experience.
